Helpful information for PartyBox Entertainment event service bookings, including face painting, balloon twisting, airbrush tattoos, photo booth rentals, bouncy castle rentals, balloon décor, setup requirements, payments, cancellations, weather, and client responsibilities.
Booking, Deposit & Payment Policy
Q: How do I confirm my booking?
Your booking is confirmed once we receive the required booking details and deposit or approved payment arrangement. For most private events, a deposit is required to reserve the date, time, equipment, and service team.
Q: What payment methods do you accept?
We commonly accept e-transfer and approved business payment methods. Credit card payments may be available through PayPal or another approved processor and may be subject to a processing fee. Corporate or institutional clients may be approved for EFT payment depending on the booking.
Q: When is the remaining balance due?
Unless otherwise agreed in writing, the remaining balance is due on the event day after setup or before service begins. Corporate or approved institutional clients may have different payment terms if confirmed in advance.
Q: Can I pay the full amount upfront?
Yes. Customers may pay the full amount upfront if they prefer. Full payment does not change the cancellation, weather, rescheduling, or service policies unless otherwise agreed in writing.
Cancellation, Rescheduling & Weather Policy
Q: What happens if I cancel my booking?
Cancellation terms may vary depending on the service type, event date, booking size, staffing, and preparation already completed. Same-day cancellations may be subject to a cancellation charge, especially when artists, equipment, vehicles, or setup teams have already been scheduled.
Q: Is the deposit refundable?
Deposits are generally used to reserve staff, equipment, and event availability. If an event needs to be postponed due to weather or another approved reason, the deposit may be transferable to a future available date, subject to availability.
Q: What is your weather policy for outdoor events?
Outdoor services may be affected by rain, wind, extreme heat, unsafe surfaces, storms, or other weather conditions. For safety reasons, some services and rentals may need to be delayed, relocated, rescheduled, or cancelled if weather conditions are unsafe.
Q: Can I reschedule because of rain?
When weather affects an outdoor booking, we will review rescheduling options based on staff and equipment availability. Rescheduling is not guaranteed for every date, but we will do our best to offer a reasonable alternative when possible.
Setup & Onsite Requirements
Q: When do your artists or staff arrive?
Arrival time depends on the service. Face painting, balloon twisting, caricatures, and airbrush tattoo artists generally arrive shortly before the scheduled start time. Larger rentals, photo booths, balloon décor, and bouncy castles may require additional setup time.
Q: What do I need to provide for face painting or balloon twisting?
For face painting, balloon twisting, caricatures, and similar artist services, please provide a clean setup area, adequate lighting, protection from weather, and when required, one table and two chairs. Outdoor setups should include shade or covered protection.
Q: Do you need electricity?
Some services require access to a standard electrical outlet. Photo booths, airbrush tattoos, certain décor setups, fun food equipment, and inflatable blowers may require power. Please confirm power availability before the event.
Q: What if the setup area is not ready when your team arrives?
Delays caused by unavailable space, parking issues, venue access problems, missing tables, lack of power, or unsafe setup conditions may reduce the available service time. Additional waiting time or overtime may be subject to extra charges.
Service Time, Delays & Overtime
Q: Does setup time count as service time?
Standard artist setup time is usually separate from the booked service time when normal access is provided. However, delays caused by venue access, parking, missing setup requirements, or client-side issues may affect the actual service start time.
Q: Can I extend the service time during the event?
Service time may be extended if the artist, staff, or equipment is available. Overtime must be approved by PartyBox Entertainment and may be charged based on the service type and additional time requested.
Q: What happens if guests are late?
Booked service time begins at the scheduled time unless otherwise agreed in writing. If guests arrive late, the service may still need to end at the original scheduled end time due to staff, travel, or other event commitments.
Face Painting, Balloon Twisting & Airbrush Tattoos
Q: How many children can be served per hour?
Capacity depends on the design complexity, age of the guests, line management, and service type. Simple face painting designs can usually serve more guests per hour than detailed full-face designs. Balloon twisting and airbrush tattoos also vary depending on design selection and guest flow.
Q: Can guests request any design?
Artists may offer a design board, recommended designs, or simplified options depending on the event size and booked service time. For large events, simple and fast designs may be recommended to serve more guests efficiently.
Q: Are custom airbrush tattoo stencils available?
Custom stencils may be available with advance notice and may require a setup fee and design fee. Lead time depends on design complexity, approval timing, and production availability.
Q: Can face painting be done outdoors?
Yes, but outdoor face painting requires a safe, shaded, and weather-protected area. Face painting may not be suitable during heavy rain, strong wind, extreme heat, poor lighting, or unsafe conditions.
Photo Booth Rental Policy
Q: How much space does the photo booth need?
Space requirements depend on the booth type, backdrop, props, printer setup, and venue layout. A clean, level area with access to a standard electrical outlet is required. Please confirm space and power availability before the event.
Q: How long does photo booth setup take?
Photo booth setup time varies depending on the booth type, backdrop, venue access, parking, elevator access, and load-in distance. Please provide clear setup instructions and venue contact details if needed.
Q: Do I need to provide a table?
Some photo booth setups may require a table for props, printer supplies, or accessories. Requirements will be confirmed based on the package selected.
Bouncy Castle Rental Policy
Q: What surface is required for a bouncy castle?
Bouncy castles require a safe, flat, clean, and suitable setup surface. Grass is preferred for many setups. Hard surfaces may require sandbags and must be approved in advance. Setup may be refused if the area is unsafe or unsuitable.
Q: Can bouncy castles be used in the rain?
Bouncy castles may not be operated during unsafe weather, including rain, storms, high wind, or slippery conditions. Weather decisions are made for guest safety and equipment protection.
Q: Who supervises the bouncy castle?
Unless an attendant is specifically included in the booking, the client is responsible for adult supervision, safe use, guest control, and ensuring users follow all safety rules during the rental.
Q: Do you need access to power?
Yes. Inflatable rentals require access to a suitable electrical outlet for the blower unless another approved power arrangement has been confirmed in advance.
Client Responsibilities
Q: What is the client responsible for?
The client is responsible for providing accurate event details, safe access, parking information, venue instructions, setup space, power if required, weather protection if outdoors, and adult supervision where applicable.
Q: Are clients responsible for damage?
Clients may be responsible for damage to rental equipment caused by misuse, unsafe operation, negligence, improper supervision, vandalism, weather exposure, or failure to follow service or rental instructions.
Q: Do you carry insurance for events?
For events or venues that require insurance documentation, PartyBox Entertainment may arrange event-specific Certificates of Insurance based on the event and venue requirements. Please provide the required liability limit, event name, venue address, and legal name of any organization or venue that needs to be listed as Additional Insured.
